As the voice of the industry, we’re in a unique position to lead and facilitate this, currently we have an opening for an office administrator who would support across several departments.  

About the role

The successful applicant will provide an administration support service to staff  across several areas of the business, predominantly this will be support for the CEO, but other areas will include supporting other teams/functions within the business. This role will on occasion require you to work with confidential and sensitive information while effectively managing competing demands for their time. 

As part of our team, you will bring energy, enthusiasm, excellent communication skills, resilience and a can-do attitude that inspires people into action.

Specific responsibilities include (but are not limited to):

  • Taking minutes at meetings 
  • Assisting with all admin functions on our project-based work 
  • Supporting the team when necessary 
  • Managing the telephones
  • Greeting customers and guests into the office
  • Managing company correspondence, including, emails, letters and packages
  • Organising meetings, scheduling appointments for the CEO
  • Performing data entry roles, including updating records and CRM system.
  • Managing inventory of office supplies, including stationery and multimedia equipment to ensure smooth office operations
  • General administration duties 

In order to be considered you will have the following skills, experience and abilities:

  • Exceptional time management skills
  • Presentation skills and customer services knowledge
  • Outstanding verbal and written communication skills
  • Proven experience in a related role such as Office Assistant, Receptionist or other relevant position
  • Knowledge of computer programs used in daily office administration functions such as Microsoft office
  • Ability to manage business correspondence and  handle confidential information
  • Excellent problem-solving skill, and an aptitude for helping other people
  • At least two years of experience in administrative or clerical roles
  • Active listening skills
  • Strong organisational skills to plan, prioritise and execute duties
  • Strong interpersonal skills and the flexibility to adapt to changing work demands

Marketing and Comms Manager

Salary: £30 – 35k PA

As the voice of the industry, we’re in a unique position to lead and facilitate this and we’re looking for a Marketing and Communications Manager to join the team and help make this vision a reality. 

We’re a small organisation with big ambition, it’ll be your job to show this off to the world, build on the platforms and success we have already achieved and take us to the next level. You’ll be our brand champion and will help to make sure the team are prepared for speaking engagements, events and have the collateral they need to help them succeed.

You’ll manage a small team who will help you deliver on the strategies and plans you create. You’ll be a doer as well as a thinker – in a small organisation everyone has to pull their weight and get their hands dirty, so we’ll need your skills operationally, as well as strategically.

What will you do?

We’re looking for a Marketing and Comms Manager to come in and support ScotlandIS to reach its goals. You’ll have to juggle multiple, competing priorities and make the right call, at the right time.

So, what will you be doing?

  • Leading a small team.  At ScotlandIS our people are key, you’ll be responsible for making sure that your team are all on track to deliver on their goals, while also making sure they are well supported and have the tools to do their job.
  • Stakeholder engagement.   ScotlandIS would be nothing without its core membership and it’s your job to be a face they can recognise and a voice they can call.  You’ll also have to make sure that we’re represented and engaged with multiple agencies across the public and private sector, and our skills aims are heard within academia and education.
  • Campaign Creation and Management.  You’ll have multiple plates spinning at any given point from our headline event ScotSoft to our annual Survey, Cyber Scotland Week and many more besides.  You’ll have to make sure that all campaigns are on point, fit with the overall strategy and perform as expected.    
  • Digital content creation.  While we don’t expect you to be a designer, however knowing your way around Photoshop would be an advantage.  It goes without saying that knowing your tweets from your ticktoks is a must.
  • Event management. You will also assist in the delivery of planned events, helping to ensure the appropriate branding, attendees and outcomes are delivered.

Few days will be the same, you’ll be working across multiple areas of the organisation while ensuring everything produced is on brand.  As part of our team, you will bring energy, enthusiasm, excellent communication skills, resilience and a can-do attitude that inspires people into action.

The ideal person will be a confident self-starter, who is well organised and values working in a small team where you are really able to make a difference.

What you’ll need

  • At least 2 yrs experience in a similar post.
  • Stakeholder engagement skills
  • Organisational skills
  • Previous experience of managing a team
  • Experience in Adobe Creative Suite, WordPress and Mailchimp
  • An optimistic, can do attitude
  • A creative streak and be willing to share your ideas
  • To be a doer and a thinker – you need to be able to turn your ideas into reality
  • Excellent communication skills
  • A team player who can work with people from all functions of the business
  • A ‘customer comes first’ approach to work
  • B2B experience
  • Previous experience in external affairs/public affairs would be advantageous
